FAQ
Mother Nature gave us the opportunity to learn from our mistakes. And that is certainly true. But at Protime, we believe even more in celebrating success. Whether it is a success on a personal, team or organisational level, everyone can learn from it and we will always celebrate it appropriately!
SMEs certainly need access control as well. It allows them to optimize the management of entrances and exits. But an access control system can also be used, for example, to secure rooms containing confidential documents.
Whether it is to manage access to a company site, secure access or manage visitor arrivals, a large enterprise needs access control. With this system, you can easily optimize the flow of employees within the company according to their responsibilities. In addition, it helps you to be able to map in real time who is in your building at a given time, for example, during a fire alarm.
You are not required to install access control. That applies to small or large businesses. But with an access control system, you save time and money and can optimally manage who enters and leaves buildings or secure areas.
With an access control system, you can easily control the entrance and exit of your buildings, production site or areas with confidential documents, such as the office of HR, accounting or the CEO.
Access control is very important. All businesses have different areas that contain sensitive or confidential data that must be protected. Moreover, the access control tool allows you to know at any time who is on your premises or in your buildings, for example, in case of a fire alarm. As a result, you optimize your operation: a significant saving of time and reduction of risks.
The price for access control tools depends on many factors: the number of premises to be secured, the number of entrances or exits to be controlled, the number of people you will integrate into the system, presence of a visitor registration tool? All these factors affect the price of the system. If you are interested, please contact us. Together we'll look at your needs.
There are a lot of benefits to access control. The first thing we think of is securing access to your grounds and buildings. But did you know that with an access control system, you can also secure one specific room? That way, you can keep sensitive documents safe. A second benefit of access control is visitor management. You can go pretty far with it: for example, with an access control system you can know at any time who is on your premises and create a report that you can use immediately in case of a fire alarm, for example.
Implementing an access control system requires some technical knowledge, as well as knowledge of our software. Therefore, an experienced consultant will come to help you install it according to your needs.
The access controller will first authenticate the user with their badge or fingerprint. The system then checks in the software the authorizations of this person and eventually grants him access to the building or room or not.
There are many types of access control. Some solutions are very visible, such as barriers and turnstiles. But security locks are also among the options. Our consultants will work with you to analyse your needs and suggest the best solutions.
Upon arrival, visitors register via a tablet or the Protime Visitors Kiosk. The person with whom they have a visit receives a notification. Meanwhile, the visitor can still read through and agree on safety guidelines or hygiene regulations. After registration, visitors are included in emergency lists and can be shown on the myProtime floor plan.
Managing visitors within your organization can be optimized and simplified by myProtime Visitors. It ensures fast and secure digital registration of visitors.

Every company needs some kind of planning. You can distinguish between two types of planning. Team planning, to make the availability of a team transparent. But also planning for requirements, which is more often used in retail and in large businesses. The latter is more demand driven.
A planning tool helps you to make your planning, taking into account various parameters. Whether it is a flexible personal planning (think flex jobs, students,...) or a teamplanning. Thus, you can optimize your processes and save time while getting a more global and precise view on your team(s).
A planning tool is a software programme that helps a company to draw up schedules. There are different types of planning tools. There is a job & team planning tool, for example. Such a tool can take into account, among other things, availability, responsibilities and the work schedule within teams. In the case of Protime, employees can also quickly access their personal planning. Thanks to a link with time registration, you also have immediate insight into whether the planning has been carried out effectively. Finally, managers and employees have insights in leave balances and employees can easily request leave.
In addition, you also have flexible staff planning. Flexible personnel planning and administration is often quite a challenge. Such tools are used in highly demanding markets that depend on a flexible workforce, such as the hospitality, retail, or event sectors.
The price of a planning tool depends on several factors, such as the number of employees or the complexity of an organisation. For a correct price calculation, please contact one of our colleagues.
Protime scheduling tools can handle immense complexity. To make sure your company gets the best set-up based on your needs, our colleagues will be happy to help you. You can contact us if you have any questions, or request a demo if you would like to see an example straight away.
The correct preparation of a planning for one or more teams can be very complex. Among other things, a planner must take into account availability, responsibilities and the work schedule within teams. A software solution can help you optimize your planning process. To show you all details of our planning tools, we would be glad to give you a demo to explain you the functionalities of the tool.
Planning can be quite complex because you often have to take a lot of factors into account. First of all, a distinction must be made between team planning and requirement planning. With team planning, the available time is central and plans are made based on this time. With requirement planning, the demand is taken into account. For example: in the catering industry, the demand for staff is higher when the weather is good than when it is bad.
In addition, account must be taken of availability (holidays, days off, etc.), responsibilities and the work schedule within teams.
Because you have to take into account many different factors, planning takes a lot of time. In addition, there is also a high risk of human error.
A software planning tool is a good solution here. Duty rosters can be drawn up quickly and efficiently. Checking whether the planning has been carried out effectively is also possible thanks to a link with time recording. There is also a continuous view of holiday balances for compensation days, holidays or other absences.
Payroll accounting is the management and processing of employee expenses within your company. It includes the payment of employee wages, as well as the registration of employee benefits. Think about pension scheme or profit sharing, for example. Remittances on wages and social contributions to the tax authorities are also part of this.
Processing wages, i.e. payroll, is a time-consuming task for HR staff. By (partially) automating it, working hours can be used differently, thus reducing costs.
Payroll administration is a time-consuming task and is also error-prone as it often still requires manual actions. However, as an employer, you can choose to automate your payroll administration. This can be done via a workforce management tool such as Protime. Hourly schedules from the work regulations are managed through that system so there is no longer any need to code absences, ADV, overtime, extra paid work, etc.

Our Protime Premium tools are available via the internet browser, but just closing the browser at the end of the day is not enough. Sometimes problems occur afterwards because you open a new active session over an incorrectly closed session. If one of the following problems occurs, you should reset the connection to the Protime Premium environment:
- The Y and/or Z drive have disappeared.
- A black screen appears after clicking on a Protime Premium module.
- The bar at the bottom with the active Protime Premium modules and export/import/copy button has disappeared.
Resetting the connection means closing the Protime Premium environment correctly (logging out) and opening it again (logging in).
We recommend always logging out in the manner described below instead of simply closing the browser. This way, the above mentioned problems will not occur anymore.

Time registration is logging the time and thus attendance. Employees can log their time and by doing this, an organisation retains a view on the attendance and working time of employees. Even though logging is the starting point, the actual gain is in the reporting and subsequent processing.

Probably the biggest reason why our Protimers enjoy working at our company so much ! Based on our values and visible in so many interactions between colleagues every single day. The camaraderie is the foundation of this culture and really thrives in our offices. We stimulate this in different kind of ways :
- We keep our teams small to about the size of a soccer team, to make sure everyone still knows each other.
- We grant our colleagues dedicated ‘time for the team’ to really get to know each other.
- We even decided to only have 1 big coffee corner in our HQ, so that everyone has to physically go the same place to get coffee with a bigger chance of meeting new people.
Individual coaching and personal development plan for each Protimer ! We made our own performance model which steps away from the fixed growth paths you typically see in other organizations. Less rigidity and more possibilities to grow !
To stimulate involvement we let 80% of all decisions being taken on a team level. They also have their own mission and purpose and set out their own strategy. So you’ll get the benefits of working in a start-up like environment but with all the possibilities that come with a mature organization.
Each team gets the appropriate time and budget to invest in their own team culture. Next to that all teams have a Culture Ambassador to nurture and further built on their Team connection !
And many more aspects* that makes our Protimers proud to be working for us !
*We bundled all initiatives and actions into a culture book over 100 pages long ! 😊
